⬆️ Copilot Updates in Microsoft Word
Recent updates to Copilot mean that users can now analyze Word documents up to 80,000 words and change selected text.
Full Story and Our Insights:
You can now analyze Word documents up to 80,000 words in length, which is around 4 times more words than previously.

Also, you can now make changes to selected text within a Word document.
1) Click and drag to select any range of text within your Word document.
2) Click the Copilot icon next to the text and select “Make changes.”

3) Enter a prompt describing the required changes, then hit “Generate.”

4) Click “Keep it” or enter another prompt to fine-tune the text further.

🔄 Refresh All Now Available for Excel on Mac
Beta Channel users can now “Refresh All” in Excel on macOS while using Power Query.
Full Story and Our Insights:
The “Refresh All” feature, already available for Windows users, is now available in Excel for macOS. This feature is rolling out to Beta Channel users running Version 16.86 or later.
To use this feature, open an Excel workbook containing data from a folder using Power Query.
1) Go to “Data” in the top menu.
2) Click “Refresh All” to update the data.

📁 Keep Ex-employees’ OneDrive Accounts Without Moving Files
When an employee leaves your organization, the standard method to keep their OneDrive files is to move them to another user’s account. However, you can avoid that by blocking the ex-employee and creating a new collection admin.

To avoid the hassle of moving files between OneDrive accounts every time someone leaves the organization, you can set up a new collection admin by following these steps:
1) Sign into the Microsoft 365 admin center as an admin.
2) Head to “Users” > “Active users” in the left menu.
3) Search for the ex-employee and select their name.
4) Head to the “OneDrive” tab.
5) Click “Create link to files.”

6) Click the link, and when the OneDrive account opens, click the cog icon at the top.
7) Choose “OneDrive settings” in the dropdown.
8) Go to “More settings.”
10) Click “Site collection administrators.”
11) Click the ex-employee’s name to remove them.
12) Then add a new user, or leave yourself as the collection admin.
13) Return to the admin center and click “Block sign-in.”
14) Finally, click the checkbox and hit “Save changes” at the bottom.

🕟 3 PRO TIPS FOR OUTLOOK ONLINE
TIP 1 - Storage Management
Worried that your overflowing inbox might be approaching the storage limit? Don’t worry, Outlook provides a complete overview of storage for all your email folders, where you can bulk delete emails older than a certain date.
1) Click the cog icon at the top to open Settings.

2) Go to “General” in the left menu. [1]
3) Go to “Storage.” [2]

4) To bulk delete emails, click “Empty” next to the folder you want to clear and choose from the following options:
All
3 months and older
6 months and older
12 months and older

TIP 2 - Schedule Emails
Scheduling emails in Outlook is a valuable feature that allows you to compose messages in advance and have them sent automatically at a later time. This can be particularly useful for various reasons, such as ensuring timely communication across different time zones or preparing important announcements ahead of time.
1) Instead of clicking “Send,” click the down arrow next to it. [1]
2) Then select “Schedule send” in the dropdown. [2]

3) Click “Custom time” in the dialogue box.

4) Select a date in the calendar. [1]
5) Click the dropdown next to the clock icon and select a time. [2]
6) Then click “Send.” [3]

7) To edit or delete a scheduled email, open “Drafts.” [1]
8) To delete the scheduled email, hover over it and click the bin icon. [2]

TIP 3 - Grammarly Spell Checker
Grammarly helps you maintain professionalism in your correspondence and allows you to respond more quickly by highlighting problems with spelling or grammar.
Although Grammarly is not currently available as an add-in for Outlook, you can install it as a browser extension, allowing you to use the application in Outlook online for free!
Add Grammarly in Microsoft Edge
1) Click the jigsaw puzzle icon at the top. [1]
2) Select “Get extensions for Microsoft Edge” in the dropdown. [2]

3) Search for “Grammarly.”
4) Click “Get” next to the Grammarly app.

If you don’t have a Grammarly account, you can easily register with your Google or Microsoft account, and it’s completely free to use. Once you’ve registered or signed in, head back to Outlook and start composing!
Add Grammarly in Google Chrome
1) Click the jigsaw puzzle icon at the top. [1]
2) Select “Manage Extensions” in the dropdown. [2]

3) Click “Chrome Web Store” on the left.

4) Search for “Grammarly.” [1]
5) Select “Grammarly: AI Writing and Grammar Check App.” [2]

If you don’t have a Grammarly account, you can easily register with your Google or Microsoft account, and it’s completely free to use. Once you’ve registered or signed in, head back to Outlook and start composing!
