💯 10 Excel Tricks You’ll Actually Use

We’ve covered formulas, shortcuts, and collaboration, but before we wrap up the series, here’s a final set of Excel tricks that will save you time and frustration. These are the ones you’ll actually use — whether you’re crunching numbers, cleaning up data, or just trying to work faster.

1. Double-click for instant results

💡 Tired of dragging formulas? Instead of clicking and dragging the fill handle, double-click the bottom-right corner of a cell—Excel will auto-fill the column down as far as the data goes.

2. Quickly jump to the end of your data

Ctrl + Arrow keys will take you to the last filled cell in a column or row. Add Shift to select everything in between.

3. Flash fill: Let Excel spot the pattern

⚡ Excel can automatically fill in data based on a pattern.

• Type a first name in one column and a last name in another.

• Start typing full names in a new column.

• Press Ctrl + E and Excel will complete the list.

Great for splitting or combining names, formatting phone numbers, or fixing inconsistencies.

4. Select all data in seconds

📌 Ctrl + A selects everything in your table.

📌 Ctrl + Shift + Space selects the entire worksheet.

Useful when copying, formatting, or making changes across multiple cells.

5. Fix errors fast with F2

✏️ Click a cell and press F2 to edit it directly. No need to double-click or retype the entire cell.

6. Transpose data without retyping

🔄 Need to switch data from rows to columns (or vice versa)?

1. Copy your data.

2. Right-click where you want it.

3. Select Paste Special > Transpose.

Perfect for flipping tables around without manually copying every value.

7. Clean up messy data with TRIM

✂️ If you’ve copied text from another source, extra spaces can cause errors. Use:

=TRIM(A2)

This removes unwanted spaces before and after text while keeping single spaces between words.

8. Insert multiple rows in one go

Instead of inserting rows one at a time:

1. Select the number of rows you need.

2. Right-click and choose Insert.

Excel will add as many new rows as you originally selected.

9. Lock headers for easier scrolling

🔒 Freeze Panes keeps your headers visible while scrolling.

• Click the row below your headers.

• Go to View > Freeze Panes > Freeze Top Row.

Now, your titles stay put while you scroll through data.

10. Speed up work with a simple shortcut

⌨️ Alt + = automatically adds a SUM formula to the selected column or row—no need to type it manually.
