💯 Clean up your digital workspace

Clearing your digital workspace is pretty easy; here’s a quick action plan.

🖥 Tidy up your desktop and Downloads folder

Start small:

  • Move any files you still need to a proper folder.

  • Delete everything you don’t. Be honest.

  • Empty your Recycle Bin (yes, really).

Then open your Downloads folder and do the same. Set a reminder to check it weekly.

💡 Bonus tip: You can change your browser settings so downloads go to a folder of your choice, not just the black hole of Downloads.

📁 Organise OneDrive and SharePoint

If you’re using OneDrive or SharePoint but still digging for files, it’s time to make folders that work for you.

  • Keep folder names short but clear — avoid “New Folder (3)”

  • Use dates where helpful: Invoices 2024, Reports Q1

  • Stick to one layer of subfolders if you can. Going 5 folders deep won’t help you find anything faster

💡 Pin your most-used folders in OneDrive so they’re always one click away.

📝 Use simple naming conventions

The goal is easy-to-scan filenames that help you know what’s inside without opening the file. A few ideas:

  • Use underscores or dashes instead of spaces (Project_Plan_April or Meeting-Notes-2024)

  • Add the date or version at the end, like Proposal_v2.docx

  • Skip words like “final” — they’re rarely final

💡 Tip: Agree on a simple file naming rule with your team to avoid duplicate files and confusion.

Less mess, more headspace

A tidy workspace — digital or physical — makes it easier to think clearly and work efficiently. You don’t need colour-coded folders or a perfect system. Just make it easy to find what you need, when you need it.
