🟢 How to Always Be Available in Teams

If you’re working at your desk on paperwork or using a different device that doesn’t have Teams installed, your status will change to “Away” despite being at your desk.

To avoid this, use these simple solutions to ensure your colleagues know they can contact you.

  • Start a Teams meeting in an unused channel using “Meet now.” You could even create a private team for this purpose.

  • Once you have joined the meeting, switch back to the main Teams window.

  • There, click your profile icon in the top right. (1)

  • Select your current availability, which should be “In a call.” (2)

  • Set your status to “Available.” (3)

Your status will not change while you are in the meeting, allowing colleagues to see that you are available.

Other solutions:

  • Install a free app called Move Mouse to simulate activity (Windows).

  • Install a free app called Caffeine to simulate activity (Mac).

  • Weigh down your arrow keys with an object.

📅 Use The Meet App to Manage Meetings

Meet in Microsoft Teams helps you manage all aspects of your meetings in one place. It allows you to prepare for upcoming meetings, catch up on meetings you missed, and find recordings, chats, and recaps easily.

Here’s what you can do with the Meet app:

  • View Upcoming Meetings: Stay organized with the “Up next” section, where you can view upcoming meeting dates, times, agendas, attendee lists, and even communicate with participants.

  • Prepare for Meetings: Review shared materials before meetings, RSVP, check who's attending, and manage meeting settings.

  • Join Meetings: Quickly join ongoing meetings or notify participants if you’re running late.

  • Review Past Meetings: Access recordings, meeting notes, and intelligent recaps in the Recent section. Premium features include reviewing missed meetings and moments where you were mentioned.

  • Manage Meetings You Organized: Reschedule meetings, send reminders, and resolve timing conflicts.

You can also add the Meet app by searching for it in the Teams app bar and pinning it for quick access.

How to add Meet in Teams

  • To start using Meet, click the () three dots in the left menu. (1)

  • Type “Meet” into the search bar. (2)

  • Click the “Meet” app. (3)

  • To pin this app, right-click it in the left menu.

  • Then select “Pin.”

🎤 Test Your Video & Audio Before a Meeting

Don’t wait until you’re in a meeting to start testing your camera and audio. You can check to make sure everything is working correctly before you join a meeting by following these steps:

  • Click the () three dots next to your profile icon in the top right. (1)

  • Select “Settings” in the dropdown. (2)

  • In Settings, head to “Devices” in the left menu. (1)

  • Then click “Make a test call.” (2)

After you click the “Make a test call” button, you will be asked to say something after the beep to test the audio.
