PRO TIPS FOR MICROSOFT 365

1️⃣ Turn Images to Text with Microsoft Word

If you have the OneDrive app installed on your phone, use it to scan your paper document. Otherwise, take a photograph and email the image to yourself.

Requirements: Phone (for taking pictures), Word (Desktop version).

To scan a document in OneDrive:

  • Tap the + plus icon in the top right. (1)

  • Then choose “Scan.” (2)

  • Open the desktop version of Microsoft Word and make a new document.

  • Go to the “Insert” tab. (1)

  • Click “Pictures” and select “Picture from file” (Mac) or “This Device” (Windows). (2)

  • Search for the image in your OneDrive folder, or wherever you saved the file, and insert it into the document.

  • Once inserted, drag the resizer icons to maximize the image, which can improve the text-to-image quality. (1)

  • Click “File” at the top. (2)

  • Then choose “Save As.” (3)

Note: the steps below will look different on Windows.

  • Before saving the document, click the dropdown next to “File Format.” (1)

  • Then choose “PDF.” (2)

  • On Windows, click “Word Document” under the name input box. (1)

  • Then select “PDF” in the dropdown. (2)

  • Now open the PDF in Microsoft Word.

🎉 You can now select, copy, and edit the text from the photo:

Tip: Select the text and click the “Clear all Formatting” icon in the “Home” tab if the text contains unwanted formatting.

2️⃣ Turn Images to Text with Google Docs

If you own a Google account, you can access Google Drive. If you have the Google Drive app on your phone, scan or upload a photo from your phone. Otherwise, take a photo and send it yourself in an email.

Requirements: Phone (for taking pictures), Google Account.

To scan or upload your photo in the Google Drive app:

  • Tap the + plus icon at the bottom. (1)

  • Select “Upload” or “Scan.” (2)

  • Once you’ve uploaded the photo to Google Drive, open Google Drive on your Laptop or PC.

  • In “My Drive,” click the three dots next to the photo. (1)

  • Go to “Open with” in the popup menu. (2)

  • Then select “Google Docs.” (3)

🎉 You can now select, copy, and edit the text from the photo:
